Executive Assistant & Projects Coordinator | Boutique Sports Consultancy
Sporting Jobs are partnering with a leading boutique sports consultancy to appoint an experienced Executive Assistant and Projects Coordinator to support the Owner and Managing Director of one of the sports and leisure sector's most exciting growing businesses.
Our client specialises in delivering high-performance sport, leisure and wellness infrastructure solutions for some of the most recognisable names in sport. Their portfolio spans Premier League football clubs, elite training facilities and internationally renowned performance centres, with current involvement in some of the most ambitious sporting infrastructure projects in the UK. This is a business at the forefront of sport and it is growing.
Sporting Jobs has built a reputation for delivering executive search and recruitment solutions across the global sports industry, partnering with clubs, governing bodies, rights holders and brands to appoint outstanding talent. We are pleased to be supporting our client in this appointment.
The Role
Reporting directly to the Owner and Managing Director, the Executive Assistant and Projects Coordinator will sit at the very heart of the business, providing comprehensive executive support while playing an active role in coordinating projects and keeping the team aligned and on track.
This is a role for someone who thrives on variety. One day you will be managing a complex diary and preparing documentation for a high-stakes client meeting. The next you will be tracking the progress of multiple live projects, ensuring processes are followed and deadlines are met across the team.
This is not a traditional EA role. It requires someone who is proactive, commercially aware and confident enough to take ownership — a genuine right hand to a busy and ambitious MD.
Key Responsibilities
- Provide comprehensive day-to-day executive support to the Owner and Managing Director
- Manage complex diary commitments, correspondence and meeting coordination
- Coordinate activity across the team to ensure projects remain aligned, on track and on time
- Track and monitor the progress of live projects and report on status and next steps
- Produce high-quality documents, reports and presentations on behalf of the MD
- Arrange and coordinate domestic travel, accommodation and itineraries
- Raise and process invoices, manage payments and follow up where required
- Document and update internal processes and procedures to drive consistency and efficiency
- Support website administration and coordinate quarterly team meetings
- Act as a key organisational point of contact across all business activity
About You
You will be an experienced EA or PA who is comfortable operating at pace in a small, high-performing team. You will be organised, discreet and proactive — someone who anticipates needs rather than waiting to be asked.
You will ideally bring:
- Proven experience in a senior EA, PA or project coordination role
- A track record of supporting a business owner, MD or C-suite leader directly
- Strong organisational and planning skills with the ability to manage multiple priorities simultaneously
- Experience coordinating or tracking projects across concurrent workstreams
- Excellent attention to detail and a professional, discreet approach at all times
- Proficiency in Microsoft Office, including Excel, PowerPoint and Word
- Comfort working with spreadsheets and financial administration
- A proactive, solutions-focused mindset with the ability to work independently in a remote environment
- A genuine interest in or passion for sport
Experience within the sport, leisure, construction or infrastructure sectors would be a significant advantage.
Why Apply
Our client has a genuinely impressive portfolio and an even more exciting pipeline. This is a rare opportunity to join a boutique consultancy at a pivotal moment in its growth, working directly alongside an MD who is shaping some of the most high-profile sporting infrastructure projects in the country.
You will have real autonomy, genuine variety and the chance to build a role that grows with the business. If you are looking for a position where your contribution is visible and valued from day one, this is it.
To apply, please submit your CV and a brief covering letter outlining your suitability for the role. For a confidential conversation ahead of applying, please contact Max McClure at Sporting Jobs directly.
